# Manage tenant subscriptions in Microsoft 365

## **Why Managing Subscriptions is Important**

* Your organization needs enough **Microsoft 365 licenses** to keep everyone working without interruptions.
    
* **Too few licenses** → Some users won’t be able to use the services they need, causing **delays** in setup and work.
    
* **Too many licenses** → You’ll **overspend** because you’re paying for unused licenses.
    
* The goal is to **balance** license purchases so you always have just the right amount.

## **Example Problem: No More Available Licenses**

* In the example screenshot (group-based licensing):
    
    * **All licenses were already assigned**.
        
    * This caused **provisioning errors** — meaning new users couldn’t get the services they needed because there were **no free licenses** left.

## **Where to Check and Manage Licenses**

* Go to the **Microsoft 365 admin center**.
    
* In the **left menu**, click **Billing → Licenses**.
    
* On the **Licenses** page, select the **Subscriptions** tab.
    
* From here you can:
    
    * See **how many licenses you have** and how many are **assigned**.
        
    * **Assign** or **remove** licenses from users.
        
    * **Purchase** additional licenses if needed.

## **Important Billing Note**

* Buying extra licenses changes the **billing date** for just those extra licenses.
    
* Example:
    
    * Main subscription bought **May 14** → billed every **June 14**.
        
    * Extra licenses bought **May 15** → billed every **June 15**.
        
* This means you may have **multiple billing dates** if you purchase licenses on different days.

## **Billing Management in Microsoft 365 Admin Center**

Inside the **Billing** section, you have several important pages:

1. **Purchase services**
    
    * Compare up to **3 products** at once.
        
    * Start the purchase process directly from here.
        
2. **Your products**
    
    * Shows all **Microsoft 365 plans** your organization bought.
        
    * Manage or update these plans.
        
3. **Licenses**
    
    * Shows the number of licenses **for each plan**.
        
    * Shows how many are **available** vs **assigned**.
        
4. **Bills and payments**
    
    * History of **all invoices**.
        
    * Shows **payment methods** and **billing profiles**.
        
5. **Billing accounts**
    
    * Contains **organization details** like address, contact info, and tax information.
        
    * Purchases made here follow the **agreement** your organization signed with Microsoft.
        
6. **Payment methods**
    
    * Manage credit cards, bank accounts, or other payment options.
        
7. **Billing notifications**
    
    * Choose **who** in your organization gets billing updates.
        
    * Decide **how** they receive statements (email, etc.).
