Role of the Microsoft 365 Administrator

As a Microsoft 365 admin, you control organization-wide Teams settings that affect:

  • How users and guests access Teams.

  • What features and capabilities they can use.

  • How meetings, apps, and reports are managed.


Main Organization-Level Settings in Teams Admin Center

1. Guest Access

  • Definition:
    Lets external users (guests) join Teams chats, calls, meetings, and channels with limited access to other resources.

  • Admin controls:

    • Enable or disable guest access entirely.

    • Restrict guest access by allowed or blocked domains.

    • Choose which Teams features guests can use (chat, meetings, calling, etc.).


2. Teams Upgrade

  • Purpose:
    Controls the transition from Skype for Business to Teams.

  • Modes available:

    • Islands – Both apps available; users choose.

    • Teams Only – All chat, calling, meetings happen in Teams.

    • Skype for Business Only – Teams disabled for core communication.

    • Other coexistence modes for gradual migration.

  • Impact:
    Determines which app handles messages, calls, and meetings, and whether users can switch.


3. Teams Settings

  • Scope:
    Customize policies and preferences for the Teams experience.

  • Examples:

    • App setup policies – Which apps are pinned to the Teams app bar.

    • Meeting policies – What meeting features are enabled.

    • Messaging policies – Which chat features are available.

    • Live events policies – Capabilities for webinars/live streams.

    • Voice settings – PSTN and calling features.

    • Device settings – Device management for Teams hardware.


4. Teams Apps

  • Admin capabilities:

    • View, approve, upload, block, or uninstall apps.

    • Control app permissions via App permission policies (allowed/blocked apps or categories).

    • Control app layout via App setup policies (default pinned apps and installs).


5. Teams Analytics and Reports

  • Purpose:
    Monitor usage, adoption, and quality.

  • Examples of reports:

    • Teams user activity report – Messages sent, meetings joined.

    • Teams device usage report – Which devices are used.

    • Teams live event usage report – Attendance and engagement stats.

    • Call Quality Dashboard – Audio/video performance insights.


Meeting Settings Overview

Two main categories:

  1. Meeting Policy Settings – Assigned to users/groups; define per-user meeting experience.

  2. Meeting Configuration Settings – Apply to all meetings in the organization.


Meeting Policy Settings

Purpose: Control how meetings are scheduled, joined, and conducted for specific users or groups.

Meeting Configuration Settings

Purpose: Apply default meeting rules across the tenant.
